The Critical Difference — What Each Formula Runs On

Scheme Calculation Base Rate Ceiling
PF Basic + DA only 12% employee + ~13% employer ₹15,000/month
ESI Gross salary (all components) 0.75% employee + 3.25% employer ₹21,000/month

This table represents the single most important concept in PF ESI calculation. PF is on basic wages only. ESI is on gross wages. Getting this wrong creates systematic calculation errors across your entire payroll.

PF Calculation Formula — Complete Technical Breakdown

Formula Component 1 — Identifying PF Base Wages

The Basic Formula

PF Base = Basic Salary + Dearness Allowance (DA)

What Counts as Basic Salary for PF

The basic salary component of your employee's salary structure — typically the largest single component, usually 40-50% of gross salary in well-structured payrolls. Basic salary is specifically and narrowly defined for PF purposes — it does not include allowances.

What Counts as Dearness Allowance

DA is an inflation-indexed component — common in government employment and some private sector contracts. Most private sector small businesses do not have a DA component — in which case PF Base = Basic Salary only.

What is EXCLUDED From PF Base

House Rent Allowance (HRA), Conveyance Allowance, Special Allowance, Medical Allowance, Leave Travel Allowance, Overtime wages, Attendance bonus, Incentive payments, City Compensatory Allowance, Any other named allowance.

The Special Allowance Complexity

A Supreme Court judgment (Surya Roshni Ltd. vs EPFO) held that allowances paid uniformly to all employees — that cannot genuinely be classified as special purpose allowances — may need to be included in PF wages. This is an evolving legal area. For practical purposes in most small business contexts: PF Base = Basic + DA.

Formula Component 2 — The PF Wage Ceiling Application

The Ceiling Formula

PF Calculation Wage = MIN(PF Base, ₹15,000)

This means:

  • If PF Base is ₹10,000 → PF Calculation Wage = ₹10,000 (below ceiling, use actual)
  • If PF Base is ₹15,000 → PF Calculation Wage = ₹15,000 (at ceiling, use actual)
  • If PF Base is ₹20,000 → PF Calculation Wage = ₹15,000 (above ceiling, cap at ₹15,000)
  • If PF Base is ₹50,000 → PF Calculation Wage = ₹15,000 (well above ceiling, always cap at ₹15,000)

Important Note on Voluntary Higher Contribution

Employers and employees may mutually agree to contribute on actual PF wages above ₹15,000. This is voluntary — not mandatory. Mandatory contribution is always calculated up to ₹15,000.

Formula Component 3 — Employee PF Contribution

Employee PF = 12% × PF Calculation Wage

Where the Employee's 12% Goes

The entire 12% employee contribution goes to the employee's EPF (Employees' Provident Fund) account — their retirement savings account maintained by EPFO.

Quick Calculation Examples

  • PF Wage = ₹8,000 → Employee PF = ₹960
  • PF Wage = ₹10,000 → Employee PF = ₹1,200
  • PF Wage = ₹12,500 → Employee PF = ₹1,500
  • PF Wage = ₹15,000 (ceiling) → Employee PF = ₹1,800 (maximum mandatory contribution)

Formula Component 4 — Employer PF Contributions

The employer's contribution is split across three sub-schemes:

Employer EPF Contribution

Employer EPF = 3.67% × PF Calculation Wage

Goes to: Employee's EPF account (together with employee's 12%, this builds the employee's PF corpus)

Employer EPS Contribution

Employer EPS = MIN(8.33% × PF Calculation Wage, ₹1,250)

Goes to: Employees' Pension Scheme — NOT to the employee's individual PF account. This funds the pension benefit. Maximum is ₹1,250/month (8.33% of ₹15,000 = ₹1,249.50 ≈ ₹1,250).

Employer EDLI Contribution

Employer EDLI = 0.50% × PF Calculation Wage

Goes to: Employees' Deposit Linked Insurance — provides life insurance cover linked to PF balance.

Administration Charges

Admin Charges = MAX(0.50% × PF Calculation Wage, ₹500 per establishment per month)

Goes to: EPFO's administrative expenses. Note: ₹500 is the minimum per establishment, not per employee.

Total Employer Contribution Summary

Total Employer PF = EPF (3.67%) + EPS (8.33%) + EDLI (0.50%)
= 12.50% of PF Calculation Wage
                  (+ Admin Charges on top)

Note: The employer's 12% is split as 3.67% EPF + 8.33% EPS. The additional 0.50% EDLI makes total employer contribution 12.50% (plus admin). While employee and employer each contribute "12%", only the employee's 12% + employer's 3.67% goes into the employee's PF account. The 8.33% goes to the pension fund.

ESI Calculation Formula — Complete Technical Breakdown

Formula Component 1 — Identifying ESI Wages

The ESI Wages Formula

ESI Wages = Sum of all regularly paid salary components

Unlike PF which is narrowly defined as Basic + DA, ESI wages are broad — including most regular salary components.

Included in ESI Wages — Complete List

Basic Salary ✅
Dearness Allowance ✅
House Rent Allowance ✅
Conveyance Allowance ✅
Special Allowance ✅
Night Shift Allowance ✅
Overtime Wages ✅
Production Incentives (if paid regularly) ✅
Attendance Bonus (if paid monthly) ✅
City Compensatory Allowance ✅
Any other regular component ✅

Excluded from ESI Wages

Annual Bonus (Payment of Bonus Act) ❌
Washing Allowance (up to ₹6.25/month) ❌
Gratuity ❌
Leave Encashment on Separation ❌
Retrenchment Compensation ❌
Medical Reimbursement (actual expense bills) ❌

In Most Cases

For a standard private sector salary structure: ESI Wages = Total Gross Salary (since most standard allowances are included)

Formula Component 2 — ESI Ceiling Check

The Ceiling Check Formula

IF (ESI Wages ≤ ₹21,000):
ESI APPLICABLE → proceed to contribution calculation
ELSE:
ESI NOT APPLICABLE → no ESI deduction or employer contribution

The Exactly ₹21,000 Case

An employee earning exactly ₹21,000 gross IS covered under ESI (≤ ₹21,000). This is a common point of confusion — ₹21,000 is the ceiling, not the threshold above which ESI applies. ESI applies UP TO AND INCLUDING ₹21,000.

Formula Component 3 — ESI Contribution Calculations

Employee ESI Formula

Employee ESI = ROUND(0.75% × ESI Wages, 0)
             = ROUND(ESI Wages × 0.0075, 0)

Employer ESI Formula

Employer ESI = ROUND(3.25% × ESI Wages, 0)
             = ROUND(ESI Wages × 0.0325, 0)

Rounding Rule for ESI

Both employee and employer ESI contributions are rounded to the nearest whole rupee.

  • ₹75.49 → rounds to ₹75
  • ₹75.50 → rounds to ₹76

Total Combined ESI

Total ESI = Employee ESI (0.75%) + Employer ESI (3.25%) = 4.00% of ESI Wages

Quick ESI Calculation Reference

Gross Salary Employee ESI (0.75%) Employer ESI (3.25%) Total
₹10,000 ₹75 ₹325 ₹400
₹14,000 ₹105 ₹455 ₹560
₹17,000 ₹128 ₹553 ₹681
₹19,000 ₹143 ₹618 ₹761
₹21,000 ₹158 ₹683 ₹841
₹21,001+ ₹0 ₹0 ₹0

8 Complete Worked Examples — Every Scenario Covered

Example 1 — Standard Employee, Below Both Ceilings

Employee Profile

Basic: ₹10,000 | DA: ₹0 | HRA: ₹4,000 | Conveyance: ₹1,500 | Special Allowance: ₹1,500 Gross Salary: ₹17,000

PF Calculation

PF Base = ₹10,000 + ₹0 = ₹10,000 PF Ceiling Check: ₹10,000 < ₹15,000 → Use ₹10,000

Employee PF = 12% × ₹10,000 = ₹1,200 Employer EPF = 3.67% × ₹10,000 = ₹367 Employer EPS = 8.33% × ₹10,000 = ₹833 Employer EDLI = 0.50% × ₹10,000 = ₹50

ESI Calculation

ESI Wages = ₹17,000 Ceiling Check: ₹17,000 < ₹21,000 → ESI applicable

Employee ESI = 0.75% × ₹17,000 = ₹127.50 ≈ ₹128 Employer ESI = 3.25% × ₹17,000 = ₹552.50 ≈ ₹553

Summary

Net Take-Home = ₹17,000 − ₹1,200 − ₹128 = ₹15,672 Total Employer Cost = ₹17,000 + ₹367 + ₹833 + ₹50 + ₹553 = ₹18,803

Example 2 — PF Ceiling Applied, ESI Applicable

Employee Profile

Basic: ₹16,000 | DA: ₹0 | HRA: ₹6,400 | Conveyance: ₹2,000 | Special: ₹1,600 Gross Salary: ₹26,000 → Wait — this is above ESI ceiling

Let us recalibrate: Basic ₹16,000 → PF ceiling applies. But gross ₹26,000 → ESI NOT applicable.

Actually, let us use a better example for this scenario: Basic: ₹16,000 | HRA: ₹2,400 | Conveyance: ₹1,000 | Special: ₹600 Gross Salary: ₹20,000

PF Calculation

PF Base = ₹16,000 + ₹0 = ₹16,000 PF Ceiling Check: ₹16,000 > ₹15,000 → Cap at ₹15,000

Employee PF = 12% × ₹15,000 = ₹1,800 Employer EPF = 3.67% × ₹15,000 = ₹550.50 ≈ ₹551 Employer EPS = 8.33% × ₹15,000 = ₹1,249.50 ≈ ₹1,250 (at ceiling) Employer EDLI = 0.50% × ₹15,000 = ₹75

ESI Calculation

ESI Wages = ₹20,000 Ceiling Check: ₹20,000 < ₹21,000 → ESI applicable

Employee ESI = 0.75% × ₹20,000 = ₹150 Employer ESI = 3.25% × ₹20,000 = ₹650

Summary

Net Take-Home = ₹20,000 − ₹1,800 − ₹150 = ₹18,050 Total Employer Cost = ₹20,000 + ₹551 + ₹1,250 + ₹75 + ₹650 = ₹22,526

Example 3 — PF Ceiling Applied, No ESI (Above ESI Ceiling)

Employee Profile

Basic: ₹20,000 | DA: ₹0 | HRA: ₹8,000 | Conveyance: ₹3,000 | Special: ₹5,000 Gross Salary: ₹36,000

PF Calculation

PF Base = ₹20,000 + ₹0 = ₹20,000 PF Ceiling Check: ₹20,000 > ₹15,000 → Cap at ₹15,000

Employee PF = 12% × ₹15,000 = ₹1,800 Employer EPF = 3.67% × ₹15,000 = ₹551 Employer EPS = ₹1,250 (at ceiling) Employer EDLI = ₹75

ESI Calculation

ESI Wages = ₹36,000 Ceiling Check: ₹36,000 > ₹21,000 → ESI NOT applicable Employee ESI = ₹0 | Employer ESI = ₹0

Summary

Net Take-Home = ₹36,000 − ₹1,800 = ₹34,200 Total Employer Cost = ₹36,000 + ₹551 + ₹1,250 + ₹75 = ₹37,876

Example 4 — Employee Exactly at ESI Ceiling

Employee Profile

Basic: ₹12,000 | DA: ₹1,500 | HRA: ₹4,800 | Conveyance: ₹1,600 | Special: ₹1,100 Gross Salary: ₹21,000 (exactly at ESI ceiling)

PF Calculation

PF Base = ₹12,000 + ₹1,500 = ₹13,500 PF Ceiling Check: ₹13,500 < ₹15,000 → Use ₹13,500

Employee PF = 12% × ₹13,500 = ₹1,620 Employer EPF = 3.67% × ₹13,500 = ₹495.45 ≈ ₹495 Employer EPS = 8.33% × ₹13,500 = ₹1,124.55 ≈ ₹1,125 Employer EDLI = 0.50% × ₹13,500 = ₹68

ESI Calculation

ESI Wages = ₹21,000 Ceiling Check: ₹21,000 = ₹21,000 → ESI IS applicable (at ceiling, not above)

Employee ESI = 0.75% × ₹21,000 = ₹157.50 ≈ ₹158 Employer ESI = 3.25% × ₹21,000 = ₹682.50 ≈ ₹683

Important Note

₹21,000 is the ceiling — meaning ESI applies to employees earning UP TO AND INCLUDING ₹21,000 gross. Only earnings ABOVE ₹21,000 are exempt.

Summary

Net Take-Home = ₹21,000 − ₹1,620 − ₹158 = ₹19,222 Total Employer Cost = ₹21,000 + ₹495 + ₹1,125 + ₹68 + ₹683 = ₹23,371

Example 5 — Low-Wage Employee (Minimum Wage Range)

Employee Profile

Basic: ₹7,500 | DA: ₹0 | HRA: ₹3,000 | Conveyance: ₹1,500 | Special: ₹1,000 Gross Salary: ₹13,000

PF Calculation

PF Base = ₹7,500 + ₹0 = ₹7,500 PF Ceiling Check: ₹7,500 < ₹15,000 → Use ₹7,500

Employee PF = 12% × ₹7,500 = ₹900 Employer EPF = 3.67% × ₹7,500 = ₹275.25 ≈ ₹275 Employer EPS = 8.33% × ₹7,500 = ₹624.75 ≈ ₹625 Employer EDLI = 0.50% × ₹7,500 = ₹37.50 ≈ ₹38

ESI Calculation

ESI Wages = ₹13,000 < ₹21,000 → ESI applicable

Employee ESI = 0.75% × ₹13,000 = ₹97.50 ≈ ₹98 Employer ESI = 3.25% × ₹13,000 = ₹422.50 ≈ ₹423

Summary

Net Take-Home = ₹13,000 − ₹900 − ₹98 = ₹12,002 Total Employer Cost = ₹13,000 + ₹275 + ₹625 + ₹38 + ₹423 = ₹14,361

Example 6 — Employee With Dearness Allowance Component

Employee Profile

Basic: ₹9,000 | DA: ₹2,000 | HRA: ₹4,400 | Conveyance: ₹1,600 Gross Salary: ₹17,000

PF Calculation — DA Changes the PF Base

PF Base = Basic + DA = ₹9,000 + ₹2,000 = ₹11,000 (not just basic ₹9,000) PF Ceiling Check: ₹11,000 < ₹15,000 → Use ₹11,000

Employee PF = 12% × ₹11,000 = ₹1,320 Employer EPF = 3.67% × ₹11,000 = ₹403.70 ≈ ₹404 Employer EPS = 8.33% × ₹11,000 = ₹916.30 ≈ ₹916 Employer EDLI = 0.50% × ₹11,000 = ₹55

Comparison — If DA Was Ignored in PF Calculation

If someone incorrectly calculated PF on basic only (₹9,000): Employee PF = 12% × ₹9,000 = ₹1,080 (wrong — understates by ₹240)

This shows why including DA in PF base matters — missing it creates under-deduction.

ESI Calculation

ESI Wages = ₹17,000 (entire gross, including DA) < ₹21,000 → ESI applicable

Employee ESI = 0.75% × ₹17,000 = ₹127.50 ≈ ₹128 Employer ESI = 3.25% × ₹17,000 = ₹552.50 ≈ ₹553

Summary

Net Take-Home = ₹17,000 − ₹1,320 − ₹128 = ₹15,552 Total Employer Cost = ₹17,000 + ₹404 + ₹916 + ₹55 + ₹553 = ₹18,928

Example 7 — Mid-Month Joiner (Prorated Calculation)

Employee Profile

Monthly Basic: ₹12,000 | Monthly Gross: ₹20,000 Join Date: 16th of the month Total Working Days in Month: 26 | Days Worked: 11

Step 1 — Pro-Rate the Salary

Pro-Rated Basic  = (₹12,000 ÷ 26) × 11 = ₹5,076.92 ≈ ₹5,077
Pro-Rated Gross  = (₹20,000 ÷ 26) × 11 = ₹8,461.54 ≈ ₹8,462

PF Calculation on Pro-Rated Salary

PF Base = Pro-Rated Basic = ₹5,077 PF Ceiling Check: ₹5,077 < ₹15,000 → Use ₹5,077

Employee PF = 12% × ₹5,077 = ₹609.24 ≈ ₹609 Employer EPF = 3.67% × ₹5,077 = ₹186.33 ≈ ₹186 Employer EPS = 8.33% × ₹5,077 = ₹423.01 ≈ ₹423 Employer EDLI = 0.50% × ₹5,077 = ₹25.39 ≈ ₹25

ESI Calculation on Pro-Rated Salary

ESI Wages = Pro-Rated Gross = ₹8,462 ESI Ceiling Check: ₹8,462 < ₹21,000 → ESI applicable

Employee ESI = 0.75% × ₹8,462 = ₹63.47 ≈ ₹63 Employer ESI = 3.25% × ₹8,462 = ₹275.02 ≈ ₹275

Summary

Net Take-Home = ₹8,462 − ₹609 − ₹63 = ₹7,790 Total Employer Cost = ₹8,462 + ₹186 + ₹423 + ₹25 + ₹275 = ₹9,371

Example 8 — Employee With Overtime (ESI Includes Overtime, PF Excludes)

Employee Profile

Basic: ₹10,000 | HRA: ₹4,000 | Conveyance: ₹1,500 | Special: ₹1,500 Regular Gross: ₹17,000 Overtime This Month: ₹3,500 Total Wages This Month: ₹20,500

PF Calculation (Overtime EXCLUDED)

PF is calculated on regular wages only — overtime is specifically excluded from PF base.

PF Base = Basic + DA = ₹10,000 + ₹0 = ₹10,000 (overtime not included) PF Ceiling Check: ₹10,000 < ₹15,000 → Use ₹10,000

Employee PF = 12% × ₹10,000 = ₹1,200 (same as if no overtime) Employer EPF = ₹367 | Employer EPS = ₹833 | Employer EDLI = ₹50

ESI Calculation (Overtime INCLUDED)

ESI is calculated on total wages INCLUDING overtime.

ESI Wages = Regular Gross + Overtime = ₹17,000 + ₹3,500 = ₹20,500 Ceiling Check: ₹20,500 < ₹21,000 → ESI applicable

Employee ESI = 0.75% × ₹20,500 = ₹153.75 ≈ ₹154 Employer ESI = 3.25% × ₹20,500 = ₹666.25 ≈ ₹666

Key Insight From This Example

Without overtime, ESI would have been: Employee ESI = 0.75% × ₹17,000 = ₹128

With overtime, ESI increased to ₹154 — because overtime is part of ESI wages. But PF remains ₹1,200 — because overtime is excluded from PF.

Summary

Net Take-Home = ₹20,500 − ₹1,200 − ₹154 = ₹19,146 Total Employer Cost = ₹20,500 + ₹367 + ₹833 + ₹50 + ₹666 = ₹22,416

Employer Cost Formula — Complete CTC Calculation

Understanding Total Cost to Company (CTC)

The CTC for an employee is not just their gross salary — it includes the employer's PF and ESI contributions on top.

Complete Employer Cost Formula

Total Employer Cost = Gross Salary
+ Employer EPF (3.67% of PF Calculation Wage)
                    + Employer EPS (MIN(8.33% × PF Calculation Wage, ₹1,250))
+ Employer EDLI (0.50% of PF Calculation Wage)
+ Employer ESI (3.25% of Gross, if applicable)
+ Admin Charges (0.50% of PF wages, min ₹500 per estab)

Employer Cost Examples by Salary Level

Employer Cost for ₹15,000 Gross Employee (Basic ₹8,000)

PF Calculation Wage = ₹8,000 Gross Salary: ₹15,000 Employer EPF: 3.67% × ₹8,000 = ₹294 Employer EPS: 8.33% × ₹8,000 = ₹666 Employer EDLI: 0.50% × ₹8,000 = ₹40 Employer ESI: 3.25% × ₹15,000 = ₹488 Total Employer Cost: ₹15,000 + ₹294 + ₹666 + ₹40 + ₹488 = ₹16,488 Statutory overhead = 9.9% of gross salary

Employer Cost for ₹21,000 Gross Employee (Basic ₹13,500)

PF Calculation Wage = ₹13,500 Gross Salary: ₹21,000 Employer EPF: 3.67% × ₹13,500 = ₹495 Employer EPS: 8.33% × ₹13,500 = ₹1,125 Employer EDLI: 0.50% × ₹13,500 = ₹68 Employer ESI: 3.25% × ₹21,000 = ₹683 Total Employer Cost: ₹21,000 + ₹495 + ₹1,125 + ₹68 + ₹683 = ₹23,371 Statutory overhead = 11.3% of gross salary

Employer Cost for ₹35,000 Gross Employee (Basic ₹20,000)

PF Calculation Wage = ₹15,000 (ceiling applied) Gross Salary: ₹35,000 Employer EPF: 3.67% × ₹15,000 = ₹551 Employer EPS: ₹1,250 (at ceiling) Employer EDLI: 0.50% × ₹15,000 = ₹75 Employer ESI: ₹0 (gross > ₹21,000) Total Employer Cost: ₹35,000 + ₹551 + ₹1,250 + ₹75 = ₹36,876 Statutory overhead = 5.4% of gross salary (lower because ESI does not apply)

Net Salary Formula — Complete Take-Home Calculation

The Net Salary Formula

LWP Deduction = (₹18,000 ÷ 26) × 3 = ₹2,076.92 ≈ ₹2,077 Actual Gross = ₹18,000 − ₹2,077 = ₹15,923 Actual Basic = ₹10,000 − (₹10,000 ÷ 26 × 3) = ₹10,000 − ₹1,154 = ₹8,846

Employee PF = 12% × ₹8,846 = ₹1,062 Employee ESI = 0.75% × ₹15,923 = ₹119.42 ≈ ₹119

Formula for Employee Receiving Annual Bonus

Bonus PF Treatment

Annual bonus under the Payment of Bonus Act = EXCLUDED from PF wages No additional PF on bonus month.

Bonus ESI Treatment

Annual bonus under the Payment of Bonus Act = EXCLUDED from ESI wages No additional ESI on bonus month.

Regular Salary Month Where Bonus is Paid

Calculate PF and ESI on regular salary components only. Bonus amount is paid separately without PF/ESI deduction.

Formula for Partial Month — Employee Leaving Mid-Month

Additional Calculation — Full and Final Settlement

On separation: Calculate and pay Leave Encashment (excluded from PF/ESI), Gratuity if eligible (excluded from PF/ESI), Notice pay (subject to PF/ESI if applicable), Retrenchment compensation if applicable (excluded from PF/ESI).

How ERP Group Applies Every Formula Automatically

The Problem With Manual Formula Application

The eight examples in this guide illustrate just some of the calculation scenarios in a typical payroll. A 15-person team might have:

  • Three employees above PF ceiling — requiring ceiling application
  • Two employees near ESI ceiling — requiring careful ceiling monitoring
  • One mid-month joiner — requiring pro-rated calculation
  • One employee with overtime — requiring separate PF and ESI base determination
  • One employee who received a salary revision — applying new structure from effective date

Manually applying the correct formula to each employee, for each scenario, every month — while ensuring no calculation errors, no missed ceiling applications, and no incorrect base selections — is a substantial and error-prone exercise.

How ERP Group's Payroll Engine Works

Salary Structure Configuration

In ERP Group's HR & Payroll software, you configure salary structures once — specifying each component and its PF/ESI treatment. Basic Salary tagged as PF-applicable, HRA and Conveyance tagged as PF-excluded. All regular components tagged as ESI-included. Annual bonus tagged as PF/ESI-excluded.

Automatic Formula Application

When monthly payroll is run, ERP Group applies every formula automatically for every employee:

  • Calculates PF Base as sum of PF-tagged components (Basic + DA)
  • Applies ₹15,000 ceiling automatically for employees above threshold
  • Applies 12% employee and 3.67% + 8.33% + 0.50% employer rates
  • Calculates ESI Wages as sum of all ESI-tagged components
  • Checks ₹21,000 ceiling for every employee
  • Applies 0.75% and 3.25% rates with correct rounding
  • Handles pro-rated calculations for joiners and leavers automatically

Zero Manual Calculation

Your payroll administrator enters or confirms the salary structure and attendance data. ERP Group does all the arithmetic — with no manual formula application required.

Integration With Accounting

ERP Group's payroll integrates natively with accounting software — posting salary expense, PF liability, and ESI liability journal entries automatically when payroll is processed. No separate manual journal entries for statutory deductions.

For businesses with warehouse staff whose attendance is tracked through operations, ERP Group's warehouse management system feeds attendance data directly into payroll. Sales team commissions managed through CRM software are automatically included in variable pay calculations. Retail counter staff managed through POS software have their working hours connected to payroll seamlessly.

Conclusion — Master the Formulas, Then Automate Them

The PF and ESI calculation formulas covered in this guide are not complex once the key rules are clear — PF on Basic + DA up to ₹15,000, ESI on gross wages up to ₹21,000, with fixed rates for employee and employer contributions. The eight worked examples demonstrate how these formulas apply across the full range of salary structures and scenarios you will encounter in Indian payroll.

Understanding these formulas makes you a more informed employer — you can verify calculations, explain deductions to employees, and understand exactly what your statutory labour cost consists of. But understanding the formulas and calculating them manually every month are two very different things.

ERP Group's HR & Payroll software applies every formula automatically — saving calculation time, eliminating arithmetic errors, generating compliant ECR and ESI files, and integrating payroll with accounting software, warehouse management, POS software, and CRM software for complete business management.

Understand the formulas. Then let ERP Group calculate them automatically — correctly, every month, for every employee.

Frequently Asked Questions

The basic PF formula is: Employee PF = 12% × MIN(Basic Salary + DA, ₹15,000). The critical rule is that PF applies to basic salary and dearness allowance only — not to gross salary. The ₹15,000 ceiling means maximum mandatory employee PF deduction is 12% × ₹15,000 = ₹1,800 per month. The employer's contribution follows the same ₹15,000 ceiling — split as 3.67% to the employee's EPF account, 8.33% to the EPS pension fund (maximum ₹1,250), and 0.50% to the EDLI insurance scheme.

Employee ESI = 0.75% × ₹18,000 = ₹135. Employer ESI = 3.25% × ₹18,000 = ₹585. Total ESI = 4% × ₹18,000 = ₹720. Since ₹18,000 is below the ₹21,000 ESI ceiling, ESI is applicable. The ESI calculation uses gross wages — not just basic salary — making it broader than the PF calculation base. For this employee, the net salary would be gross ₹18,000 minus employee PF deduction minus ₹135 ESI.

PF: PF Base = ₹13,000 (below ₹15,000 ceiling). Employee PF = 12% × ₹13,000 = ₹1,560. Employer EPF = 3.67% × ₹13,000 = ₹477. Employer EPS = 8.33% × ₹13,000 = ₹1,083. ESI: Gross = ₹22,000 which is above the ₹21,000 ESI ceiling — ESI is NOT applicable. No ESI deduction from the employee and no employer ESI contribution. Net take-home = ₹22,000 − ₹1,560 = ₹20,440.

Overtime wages are treated differently for PF versus ESI. For PF: Overtime is EXCLUDED — PF is calculated only on regular wages (Basic + DA). Adding overtime hours does not change the PF deduction. For ESI: Overtime is INCLUDED — ESI is calculated on total wages including overtime. If overtime pushes an employee's total wages above ₹21,000 in a month, ESI may still apply depending on their contribution period classification.

When basic salary is exactly ₹15,000 (with no DA), the ceiling is at but not exceeded. Employee PF = 12% × ₹15,000 = ₹1,800. Employer EPF = 3.67% × ₹15,000 = ₹550.50 ≈ ₹551. Employer EPS = 8.33% × ₹15,000 = ₹1,249.50 ≈ ₹1,250 (at ceiling). These are the maximum mandatory PF amounts — any basic salary above ₹15,000 produces the same mandatory PF deduction of ₹1,800 for the employee.

ESI contribution periods run April to September and October to March. If an employee's salary increases mid-period — say a gross increase from ₹19,000 to ₹23,000 in July — the employee remains covered under ESI for the rest of the current period (July to September) even though their salary now exceeds ₹21,000. ESI is calculated on the new ₹23,000 gross for those months. From October (the new contribution period), the employee becomes exempt from ESI as their wages exceed the ceiling.

Yes — ERP Group's HR & Payroll software applies every PF and ESI formula automatically during monthly payroll processing. You configure the salary structure once — specifying PF-applicable components (Basic, DA) and ESI-applicable components (all regular allowances). When payroll runs, the software calculates PF Base as Basic + DA, applies the ₹15,000 ceiling, computes 12% employee and 3.67%/8.33%/0.50% employer contributions, checks ESI wages against the ₹21,000 ceiling, and applies 0.75%/3.25% ESI rates with rounding. Pro-rated calculations for mid-month joiners and leavers are also handled automatically.
