PF ESI Calculator for 10 Employees India — Complete 2026 Guide

You have a team of 10. Some earning ₹12,000. One on ₹35,000. A couple near the ESI ceiling. One who just joined mid-month. And payroll day is tomorrow.

You need to calculate PF and ESI for all 10 — correctly, on time, and without errors that come back to haunt you in the form of EPFO notices or salary disputes with your team.

This guide gives you exactly what you need — a complete, practical PF ESI calculation guide specifically designed for a 10-employee team in India. We walk through a realistic 10-person team with different salary structures, apply every rule correctly to each person, and show you the complete calculation from gross salary to net take-home to total employer cost.

By the end, you will have a clear framework for calculating PF and ESI for your team — and you will understand how ERP Group's HR & Payroll software makes every one of these calculations automatic every month, so you never have to manually compute them again.

PF ESI Applicability for a 10-Employee Business

ESI Applies at 10 Employees — PF May or May Not

This is the critical applicability question for any business with exactly 10 employees — and the answer differs for PF and ESI.

ESI Applicability at 10 Employees

ESI applies to establishments with 10 or more employees — which means a business that reaches exactly 10 employees triggers mandatory ESI registration and compliance. If your business has 10 employees today, ESI registration is mandatory in most states.

PF Applicability at 10 Employees

PF applies to establishments with 20 or more employees — meaning a 10-employee business does not yet have mandatory PF obligations. However, voluntary PF registration is available and many small businesses register voluntarily to provide retirement benefits.

The Practical Implication for a 10-Employee Business

If you have exactly 10 employees and have not crossed 20:

  • ESI: Mandatory — You must register with ESIC and deduct/remit ESI contributions
  • PF: Voluntary — You can register voluntarily but are not legally required to

For this guide, we will cover both PF and ESI calculations for all 10 employees — covering the scenario where the business has either voluntarily registered for PF or has grown past 20 employees and is looking at what the calculations look like for the core team.

The Threshold Warning — When You Cross 20 Employees

If your team is at 10 and growing — plan for PF compliance before you cross 20. The transition from 10 to 20+ employees should include PF system readiness so you are not scrambling to implement compliance after the fact. ERP Group's HR & Payroll software handles both ESI-only (10-19 employees) and full PF + ESI (20+ employees) compliance from the same platform.

The Quick Reference Calculation Rules

PF Calculation Rules Summary

Rule 1 — PF Base is Basic + DA Only

PF is calculated on Basic Salary + Dearness Allowance — NOT on gross salary. HRA, conveyance, special allowance, and other components are excluded from PF base.

Rule 2 — PF Wage Ceiling is ₹15,000

If Basic + DA exceeds ₹15,000 → cap at ₹15,000 for PF calculation. If Basic + DA is below ₹15,000 → use actual amount.

Rule 3 — Rates Are Fixed

Employee contribution: 12% of PF base Employer EPF: 3.67% of PF base Employer EPS: 8.33% of PF base (maximum ₹1,250/month) Employer EDLI: 0.50% of PF base Admin charges: 0.50% of PF base (minimum ₹500 per establishment)

ESI Calculation Rules Summary

Rule 1 — ESI Base is Gross Wages

ESI is calculated on gross wages — including basic, HRA, conveyance, special allowance, overtime, and all other regular components.

Rule 2 — ESI Wage Ceiling is ₹21,000

If gross wages exceed ₹21,000 → employee is NOT covered under ESI. If gross wages are ₹21,000 or below → ESI applies.

Rule 3 — Rates Are Fixed

Employee contribution: 0.75% of gross wages Employer contribution: 3.25% of gross wages

Quick Reference Card

PF Calculation:
PF Base = MIN(Basic + DA, ₹15,000)
Employee PF = 12% × PF Base
Employer EPF = 3.67% × PF Base
Employer EPS = MIN(8.33% × PF Base, ₹1,250)
Employer EDLI = 0.50% × PF Base

ESI Calculation (only if Gross ≤ ₹21,000):
Employee ESI = 0.75% × Gross Wages
Employer ESI = 3.25% × Gross Wages

Employee-Wise Detailed PF ESI Calculations

Employee 1 — Rajesh Kumar (Warehouse Manager)

Salary Structure

Basic: ₹18,000 | Total Gross: ₹31,000

PF Calculation

PF Base = Basic + DA = ₹18,000 + ₹0 = ₹18,000 → Capped at ₹15,000

Employee PF = 12% × ₹15,000 = ₹1,800 Employer EPF = 3.67% × ₹15,000 = ₹550.50 ≈ ₹551 Employer EPS = 8.33% × ₹15,000 = ₹1,249.50 ≈ ₹1,250 (at ceiling) Employer EDLI = 0.50% × ₹15,000 = ₹75

ESI Calculation

Gross = ₹31,000 > ₹21,000 → ESI NOT applicable Employee ESI = ₹0 | Employer ESI = ₹0

Result

Net Take-Home = ₹31,000 − ₹1,800 = ₹29,200 Total Employer Cost = ₹31,000 + ₹551 + ₹1,250 + ₹75 = ₹32,876

Employee 2 — Sunita Verma (Accountant)

Salary Structure

Basic: ₹12,000 | DA: ₹1,500 | Total Gross: ₹21,000

PF Calculation

PF Base = Basic + DA = ₹12,000 + ₹1,500 = ₹13,500 → Below ₹15,000 ceiling — use ₹13,500

Employee PF = 12% × ₹13,500 = ₹1,620 Employer EPF = 3.67% × ₹13,500 = ₹495.45 ≈ ₹495 Employer EPS = 8.33% × ₹13,500 = ₹1,124.55 ≈ ₹1,125 Employer EDLI = 0.50% × ₹13,500 = ₹67.50 ≈ ₹68

ESI Calculation

Common Scenarios in a 10-Person Team

Scenario 1 — New Employee Joins Your Team of 10

The Situation

Your team grows to 11 when a new employee joins mid-month. Gross salary: ₹16,000. Basic: ₹8,000. Joins on the 18th.

PF ESI Treatment

Working days in the month: 26. Days worked: 9. Pro-rated gross = (₹16,000 ÷ 26) × 9 = ₹5,538.46 ≈ ₹5,538 Pro-rated basic = (₹8,000 ÷ 26) × 9 = ₹2,769.23 ≈ ₹2,769

Employee PF = 12% × ₹2,769 = ₹332 Employer EPF = 3.67% × ₹2,769 = ₹102 Employer EPS = 8.33% × ₹2,769 = ₹231

ESI on pro-rated gross: ₹5,538 < ₹21,000 → applicable Employee ESI = 0.75% × ₹5,538 = ₹42 Employer ESI = 3.25% × ₹5,538 = ₹180

Scenario 2 — Salary Increment Pushing Employee Near ESI Ceiling

The Situation

Priya Sharma (currently ₹17,000 gross) receives a salary increment — new gross ₹20,000, new basic ₹12,000.

PF ESI Treatment After Increment

New PF Base = ₹12,000 (below ₹15,000 ceiling) Employee PF = 12% × ₹12,000 = ₹1,440 (was ₹1,200) Employer EPF = 3.67% × ₹12,000 = ₹440 Employer EPS = 8.33% × ₹12,000 = ₹1,000

New ESI Wages = ₹20,000 ≤ ₹21,000 → ESI still applicable Employee ESI = 0.75% × ₹20,000 = ₹150 (was ₹128) Employer ESI = 3.25% × ₹20,000 = ₹650 (was ₹553)

Warning Flag

Priya is now ₹1,000 below the ESI ceiling. Any additional component (overtime, bonus, etc.) could push her above ₹21,000 — requiring careful monitoring each month.

Scenario 3 — An Employee Leaves Mid-Month

The Situation

Meena Joshi resigns and her last working day is the 20th of the month.

PF ESI Treatment

Working days in month: 26. Days worked: 20. Pro-rated gross = (₹13,000 ÷ 26) × 20 = ₹10,000 Pro-rated basic = (₹7,500 ÷ 26) × 20 = ₹5,769

Employee PF = 12% × ₹5,769 = ₹692 Employee ESI = 0.75% × ₹10,000 = ₹75 Employer ESI = 3.25% × ₹10,000 = ₹325

Additional Compliance on Exit

Meena's UAN should be marked as exit in the EPFO portal with exit date. PF accumulation becomes claimable — provide UAN and exit details. ESI benefits continue for a period post-exit depending on contribution period.

Scenario 4 — Employee Receives Bonus

The Situation

All 10 employees receive a Diwali bonus — the company pays one month's basic salary as bonus.

PF ESI Treatment of Bonus

Annual bonus paid under the Payment of Bonus Act → Excluded from both PF and ESI wages

No additional PF or ESI deduction on the bonus payment. The bonus is paid gross — subject to TDS if applicable, but not subject to PF/ESI.

How ERP Group Automates PF ESI for Your 10-Employee Team

What Manual Calculation Looks Like for 10 Employees

Going through the 10 calculations above — even with this guide — takes approximately 30-45 minutes per month when done manually. With new joiners, leavers, increment changes, and bonus months, the complexity increases. And one error in one employee's calculation creates compliance risk for the entire payroll cycle.

What ERP Group Does Automatically

ERP Group's HR & Payroll software makes the entire process above automatic:

One-Time Setup

Configure your salary structures in ERP Group — defining Basic, HRA, Conveyance, Special Allowance and flagging each component's PF/ESI treatment. Add your 10 employees with their respective structures. ERP Group applies PF and ESI eligibility rules automatically.

Monthly Payroll Run

Click Process Payroll. ERP Group calculates PF and ESI for all 10 employees simultaneously — applying wage ceilings, checking ESI eligibility, computing employer contributions, and generating salary slips with itemised deductions.

Compliance Output

ERP Group generates the ECR file for EPFO portal upload. It generates ESI challan data for ESIC portal. It posts payroll journal entries to the accounting software — salary expense, PF liability, ESI liability — automatically.

Special Scenario Handling

Mid-month joiners and leavers — ERP Group calculates pro-rated salary and PF/ESI automatically from join/exit date. Salary increments — ERP Group applies new salary structure from the effective date. ESI ceiling crossings — ERP Group flags employees approaching or crossing the ₹21,000 ESI ceiling and manages contribution period transitions automatically.

Complete Business Integration

ERP Group's payroll integrates with every module your business uses. Warehouse management staff payroll flows through the same system as admin and sales staff — with attendance data from warehouse operations feeding into payroll. Retail counter staff managed through POS software have their working hours and commissions integrated with payroll. Sales staff in CRM software have their variable incentives automatically included in payroll calculations. And all of it connects to accounting software for accurate financial reporting.

Conclusion — Accurate PF ESI Calculation Protects Your Team and Your Business

Working through PF and ESI calculations for 10 employees — as shown in this guide — illustrates both the importance of getting the rules right and the value of automating the process. With different salary structures, different applicability rules, ceiling calculations, and employer contributions to track, manual monthly calculation creates real error risk — even for a team of just 10.

ERP Group's HR & Payroll software makes every calculation in this guide happen automatically — every month, for every employee, with ceiling applications, ESI eligibility checks, employer contribution calculations, ECR file generation, and accounting integration — all handled without manual computation.

Combined with accounting software for financial reporting, warehouse management for operations, POS software for retail, and CRM software for sales — ERP Group gives small Indian businesses the complete platform where HR compliance is handled alongside every other business function.

Stop manually calculating PF and ESI for your team every month. Let ERP Group do it automatically — correctly, completely, and on time.

Got Questions?

Frequently Asked Questions

With exactly 10 employees, ESI registration is mandatory in most states of India — the ESI threshold is 10 or more employees. PF registration is not yet mandatory — PF becomes compulsory when you reach 20 employees. You can voluntarily register for PF to provide retirement benefits to your team. As your business grows toward 20 employees, plan your PF compliance infrastructure in advance so you are not scrambling after crossing the threshold.

Based on the example above with total gross payroll of ₹2,20,000 — the employer's total statutory add-on cost is approximately ₹18,156 per month (₹14,254 in PF contributions + ₹3,902 in ESI contributions). This represents approximately 8.3% of gross payroll as statutory employer contribution overhead — in addition to the salary cost. For budget planning, add approximately 8-10% of gross payroll as statutory labour cost overhead for a mixed-salary 10-person team where some employees are above ESI ceiling and some are below.

Employees 1 (Rajesh — ₹31,000 gross), 6 (Deepak — ₹24,000 gross), and 10 (Suresh — ₹45,000 gross) do not have ESI because their gross salaries exceed the ₹21,000 ESI wage ceiling. ESI only covers employees earning ₹21,000 gross per month or below. Employees above this ceiling are not covered under the ESI scheme — no deduction from their salary and no employer ESI contribution for them.

For the 10-employee example: Total PF remittance to EPFO = ₹27,934 per month (employee PF ₹13,680 + employer PF contributions ₹14,254) plus administration charges. Total ESI remittance to ESIC = ₹4,805 per month (employee ESI ₹903 + employer ESI ₹3,902). Both must be remitted by the 15th of the following month. For a business with this payroll structure, total monthly statutory remittance is approximately ₹32,739 before administration charges.

Yes — ERP Group's HR & Payroll software is designed for Indian businesses of all sizes including those with 5-10 employees. For a 10-employee team, ERP Group manages ESI compliance fully (as ESI is mandatory at 10 employees), manages voluntary PF if you have registered, handles all payroll calculations automatically, generates ECR and ESI files, and integrates with your accounting records. As your team grows past 20 and mandatory PF registration applies, ERP Group handles the expanded compliance without any system changes required.

When an employee's salary is revised and crosses the ₹21,000 ESI ceiling, ERP Group handles the transition automatically. ESI contributions continue for the current six-monthly contribution period (April-September or October-March — whichever is current) even after the salary increase. At the start of the following contribution period, ERP Group automatically updates the employee's ESI status to exempt — stopping ESI deductions and employer contributions. The transition is managed automatically based on the salary revision date and the contribution period calendar — no manual adjustment required.

The 15th of the month due date for PF and ESI remittance is a calendar date deadline. If the 15th falls on a bank holiday or Sunday, the standard practice is to remit on the preceding working day to avoid technical late payment. ERP Group's payroll calendar flags upcoming remittance deadlines — including alerts when the 15th falls on a non-working day — so your team can plan payments appropriately.
